Hi, I’m Katherine and I’m part of the HR team at Victoria Park Medispa Group, and I’ll be honest, our Front Desk Coordinators are the heartbeat of our clinics. You’re not “just” answering phones or booking appointments. You’re creating first impressions, calming nerves, building trust, and helping our clients feel confident, cared for, and excited about their experience with us.

At Victoria Park, we don’t do ordinary. We’re shaping the future of medical aesthetics in Canada, and that takes warm people, sharp minds, and a whole lot of heart. Intrigued? Keep reading, this might be the opportunity you’ve been looking for.

A Day in the Life as a Front Desk Coordinator

We are looking for a Full-time Front Desk Coordinator to join our Toronto Bay team! You'll be the first friendly face and voice our client’s experience. Your days are fast paced, varied, and never boring. You’ll juggle client interactions, scheduling, administrative details, and collaboration with physicians and technicians all while keeping the clinic running smoothly and professionally.

Your goal?

To deliver an exceptional client experience from the moment someone contacts us, while supporting our medical and operations teams behind the scenes.

You’ll be:

  • Welcoming clients in person and on the phone with warmth, professionalism, and confidence
  • Guiding clients through questions about our medical aesthetic treatments
  • Booking appointments and ensuring schedules are optimized for physicians and technicians
  • Managing patient check-ins, checkouts, and re-bookings seamlessly
  • Processing medical billing and invoices with accuracy and discretion
  • Providing administrative support to physicians and the Operations Manager
  • Jumping into special projects and supporting clinic operations as needed
  • Making sure no detail slips through the cracks

What We’re Looking For

You’re someone who:

  • Naturally connects with people and enjoys building relationships
  • Has a positive, proactive, “I’ve got this” attitude
  • Thrives in a busy environment where no two days look the same
  • Takes pride in being organized, detail-oriented, and dependable
  • Loves delivering exceptional service and following through
  • Can work independently while being a strong team player

Experience in a clinic or healthcare setting is an asset, but attitude, professionalism, and client focus matter most!

Required Skills & Experience

  • 1–2 years of experience in an administrative, coordination, or client-facing role (clinic or healthcare experience is an asset, not a must)
  • Strong communication skills both verbal and written
  • Comfort with sales conversations and guiding clients toward the right services
  • Excellent organizational skills and sound judgment
  • Strong computer literacy and administrative confidence
  • Ability to follow processes accurately with limited supervision
  • Flexibility to support clinic scheduling needs
  • Background or interest in aesthetics and wellness is a strong asset
  • Experience with OHIP billing, Accuro, and Zenoti is considered a strong asset.

Position type:
This position is a permanent full-time role and is a replacement position.

Compensation:
$20-$23 per hour. Starting rate will be determined based on relevant skills and experience.

What’s In It for You (Why Join Us?)

  • You’ll have real responsibility from day one, no bench-warming here
  • You’ll work in a beautiful, professional, and supportive clinic environment
  • You’ll be part of a team that genuinely values kindness, excellence, and collaboration
  • You’ll receive employee discounts on our medispa services and skincare products
  • You’ll have access to health, dental, and vision benefits
  • You’ll enjoy ongoing training and development, plus access to our company Kindle library
  • You’ll be eligible to participate in our Learning Matching Fund to support your personal and professional growth
