ROLE

The Finance Coordinator will support the Finance team, Resourcing and Account Services team with the organization of internal jobs, client budgets, costs, and billing. The successful candidate needs to be proficient with Microsoft Excel and needs to have relevant accounting experience specifically with creating budget estimates, purchase orders, and invoicing. This position will report directly to the Sr. Finance Manager.

RESPONSIBILITIES

Daily

  • Opening jobs/project numbers, processing approved budgets and invoicing schedules
  • Creating client facing budget estimates
  • Creating Purchase Orders (PO) and setting up new vendors
  • Managing and reconciling the corporate credit cards
  • Supporting Finance and Account Services team with various admin/finance requests, including but not limited to hours reports, hours and cost transfers
  • Owning freelance process (tracking, contracts, POs, Timesheets)

Weekly

  • Following up with employees on timesheets
  • Following up with Account Services team on client approvals of budgets
  • Processing of outside vendors and partners invoices
  • Performing Accounts Receivable follow-ups

Monthly

  • Performing credit card reconciliation 
  • Assisting Sr. Finance Manager with month-end closing procedures
  • Extracting and distributing Efficiency/Timesheets reports for various departments 
  • Owning timesheet closing for all staff to meet month-end deadlines
  • Issuing and emailing recurring invoices to subtenants and clients
  • Attending Budget Control meetings and performing follow-up tasks


REQUIREMENTS

  • University Degree and/or College Diploma in Accounting, Finance or other relevant program
  • Proficiency with Microsoft Excel
  • 1–2 years of experience in an accounting position or a role with financial accountability
  • Agency experience is an asset
  • Workday experience is an asset
  • Fluency in French and English, both spoken and written, to work with a national client. Daily collaboration with colleagues and client team based in Toronto.
