Job Description:
KEV Group is looking for an Personal/Executive Assistant to act as an administrative and personal assistant to our CEO. We are looking for a dynamic and flexible individual who can take on wide variety of professional and personal responsibilities for the CEO to free up his time and allow him to focus on business-critical responsibilities.
Please note, this role will be required to be in-office at our location in North York 5 days a week.
Responsibilities:
- Effectively and proactively manage the CEO’s calendar and their relationship with internal and external stakeholders
- Make informed decisions to prioritize and maximize his daily schedule, while identifying and communicating any prioritization issues or conflicts
- Complete personal tasks as requested for the CEO to free up his time
- Book business and personal travel for the CEO
- Be available for, and responsive to calls, texts and emails from the CEO as needed
- Communicate directly, and on behalf of the CEO, with Executive Leadership Team, Directors and other senior leadership/management team, on matters related to the CEO's initiatives
- Organize and prepare meetings, including agenda and deck preparation and creation, taking meeting minutes and circulating with senior Executive Team Members to ensuring high degree of transparency, information/data accuracy and aligned communications
- Create, prepare, and organize internal and external correspondence and presentations
- Review all documents, reports, and correspondence prepared for executive signature for format, content, grammar, spelling and make edits as necessary
- Receive and screen all inbound telephone calls, e-mails, and visitors for the CEO, referring and/or redirecting as appropriate
- Other duties as assigned
Requirements and Skills:
- Post-secondary education is required
- At least 7 years of experience as an Personal/Executive Assistant with previous experience supporting a CEO or President from both a personal and administrative perspective
- Previous experience working in a highly confidential and fast-paced environment
- Solid knowledge of MS Office 365 including Word, Teams, Excel, PowerPoint, and Outlook
- Excellent verbal and written communication skills
- Ability to prioritize tasks according to importance and urgency
- Professional, adaptable, resourceful and proactive
- Strong organizational skills, ability to multi-task and strong attention to detail.
- Strong problem-solving and decision-making skills
