Desjardins Group is seeking a highly organized and proactive Office Administrative Assistant. The ideal candidate exudes professionalism, a positive attitude and a strong team spirit! As a Office Administrative Assistant, you will contribute to the organization's administrative and operational activities through a variety of responsibilities including event planning, managing resources and supporting administrative tasks. As the first point of contact you will play a crucial role in managing communication and ensuring a seamless flow of information. You collaborate in problem-solving and the development of appropriate recommendations, using your ability to adapt as required. More specifically, you will be required to:

  • Welcome visitors and clients with professionalism and courtesy

  • Plan and coordinate major events and client receptions including logistics & catering 

  • Set up and dismantle meeting spaces according to the event requirements

  • Provide technical support for meeting rooms, including audio-visual equipment and conferencing tools, and assist with troubleshooting as needed

  • Assist in the preparation of reports and presentations 

  • Manage schedules, appointments and meetings

  • Order and manage supplies for the reception area, meeting rooms and serveries

  • Manage incoming and outgoing physical correspondence including mail and couriers with discretion and professionalism

  • Maintain a clean and organized reception area, ensuring it is always presentable

  • Support team members in various projects, demonstrating a collaborative spirit 

  • Maintain confidentiality in all matters related to the organisation

What you bring to the table

  • College diploma in a related field

  • A minimum of two years of relevant experience in a corporate environment

  • Please note that other combinations of qualifications and relevant experience may be considered

  • Expert proficiency of English due to the nature of the duties or work tools or because the position involves interactions with English-speaking partners, members and/or clients

  • Expertise in Office 365 tools
