Job Description:

Reporting to the SVP, Insurance Solutions, the Executive Assistant is responsible for providing complete administrative management to leaders within the Insurance Solutions team that is part of our Retail Advice and Solutions business. With a continuous improvement focus, the incumbent will provide efficient and high-quality administrative support to the SVP, Insurance Solutions, the VP, Profitability & Risk Management and also provide support for the AVPs within the team. The successful candidate will be a self-confident, creative, innovative thinker with superior organization and time management skills. The incumbent will be independent and proactive, with the ability to handle a wide variety of responsibilities. The role is fast paced with multiple demands and requires a demonstrated regard for confidentiality and a high level of judgment.

The primary work location for this role will be our Toronto One York office.

What will you do?

  • Manages all aspects of the leaders’ calendars to ensure meetings are prioritized with internal and external clients/business partners as appropriate

  • Proactively anticipates the needs of the leaders in a dynamic and fast-paced environment

  • Monitors, prioritizes, and/or responds to leaders email as needed

  • Coordinate logistics of large-scale events and activities for the leaders team including in-person multi-location townhalls and social events

  • Coordinates meetings, including preparing agendas, presentations and reports

  • Assists in the preparation and distribution of reports and internal communications

  • Manages the administrative budget. expense reimbursements and procurement requests with third-party vendors

  • Coordinates end-to-end logistics of leaders’ travel arrangements

  • Assists other leaders with administrative support as needed

  • May perform other administrative duties as required, including but not limited to:

    • Supporting the effective operation of the leadership team’s working model, including coordinating and providing administrative support for day‑to‑day operational meetings and strategy or planning sessions

    • Maintaining the team’s business continuity and audit requirements

    • Actively supporting team culture and engagement initiatives

What do you need to succeed?

  • College diploma in office technology or administration, or equivalent education for the job requirements

  • A minimum of 3 years experience working as an Executive Assistant supporting senior leaders

  • Committed to work in-person at Toronto One York office at least 2-3 times per week on the same days as when supported Executives are in the office. Occasional travel to Waterloo office is required.

  • Excellent verbal and written communication skills

  • Proficiency in Microsoft Office Suite; including basic Excel and Power Point skills

  • Self-starter who would proactively identify and execute on opportunities to improve the functioning and well-being of the team

  • Ability to prioritize important tasks, excellent organizational skills, accuracy and attention to detail

  • Collaborative team player in working with other Executive Assistants at Sun Life

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
