As the Executive Assistant to members of the executive leadership team at Caseware, you’ll be instrumental in proactively supporting the CEO and CFO as we embark on Caseware’s next chapter in history. You will be supporting their day-to-day needs, managing calendars, arranging meetings, collecting data for presentations, collaborating cross-functionally with other executives, team members, board members, and partners across the organization. 

 

❗ In this role, you will be reporting directly to the CEO and supporting both the CEO and CFO.

 

❗ This role is hybrid in-office and is open to GTA residents. Strong preference for Toronto-based applicants. It will require at least three in-office days per week.

What You’ll be Doing:

  • Proactively coordinate and manage the executive’s schedule, including meetings, appointments, and travel arrangements. 
  • Arrange detailed travel itineraries, accommodations, and transportation as needed, this may include support for external guests and partners as needed. 
  • Create, submit and track expense reports for each executive as well as the executive corporate credit cards to ensure timely and accurate expense reimbursement processing. 
  • Act as the primary point of contact between the executives and internal/external stakeholders. Manage and prioritize emails, calls, requests and proactively communicate prioritization needs.
  • Contribute to leadership meetings by assisting with the production of agendas, collection of pre-reads, taking notes, and tracking action items, as needed. 
  • Establish new (and improve existing) systems, document retention, and processes to become familiar with the team and operational cadence. 
  • Work in coordination with other support team members in the Toronto office, and global offices, to coordinate any in office meetings and events on behalf of the executives.
  • Handle sensitive information with the utmost discretion and integrity. 
  • Assist with ad hoc projects, events, and travel arrangements as needed.

What you will bring:

  • Bachelor’s degree preferred or equivalent experience. 
  • 3-5+ years of experience supporting one or more executives in large, global organizations. Technology company experience preferred.
  • Complete confidentiality and trustworthiness on all business matters.
  • Highly organized and detail-oriented, able to prioritize complex projectsdemonstratedexcellence with time-management.
  • Strong scheduling and travel coordination experience. 
  • Proficiency with Microsoft suite of office applications (Word, Docs, Sheets, Excel, etc) 
  • Effective communication and collaboration with stakeholders at all levels of an organization. 
  • Solution oriented and positive attitude.
  • Flexible to manage in-office schedule based on business need.
