**This position can be a remote or hybrid position based out of Downtown Toronto office**
About you
You are highly organized and detail-oriented in providing comprehensive administrative support to a team. This role involves managing both incoming and outgoing file activities, supporting business operations, and assisting with various tasks related to client engagement and reporting. The successful candidate will also help coordinate with other administrative staff to ensure smooth business processes. Both remote (within Canada) and hybrid candidates will be considered.
In this role, you will..

Prepare and send out Engagement Letters.

Oversee and maintain the team workflow.

Track draft reports, ensuring that any requested revisions are completed in a timely manner.

Prepare and send reliance letters as needed
-
Liaise with clients regarding required appraisal information, coordinate inspections and follow-up on retainers/outstanding invoices

Provide support to the lead of CIRA’s Institutional Property Group – coordinate meetings with other internal members, provide support in executing on portfolio mandates (aggregating reports from various members, complete value summaries, internal and external deadlines).

Provide support organizing on-going platform and enterprise initiatives with other internal stakeholders at Colliers, as well as any applicable external vendors

Provide ongoing email support handling requests and managing communications

Assist with on-going communication with institutional client base (quarterly market update distribution list maintenance, linkedin campaigns, etc.
What you'll bring

Proficient in Microsoft Excel, Word, and PowerPoint.

Prior experience (3-5 years) in an administrative support role, preferably within a professional service or customer service environment.

Diploma in administration or related field.

Strong organizational and time-management skills.
-
Excellent communication skills, both written and verbal.

Ability to work both independently and collaboratively with other administrative staff.

Attention to detail and ability to handle sensitive information with discretion.
