Position Description

Boosted.ai is looking for a highly organized and proactive Executive Assistant to support our executive team in navigating the fast-paced world of FinTech. In this role, you’ll act as a trusted partner to the Chief Executive Officer and Chief Revenue Officer, managing their daily activities, coordinating key business initiatives, and ensuring smooth operations at the highest levels of the company.

The ideal candidate is a detail-oriented, adaptable problem-solver who thrives in a dynamic environment. You’ll need to balance multiple priorities, handle confidential information with discretion, and be a key contributor in ensuring our leadership team remains focused on strategic goals.

What You'll Be Doing (Key Responsibilities):

  • Support Leadership: Be the right hand to the CEO and CRO, managing calendars, scheduling meetings, coordinating travel, compiling expense reports, and handling day-to-day communications
  • Project Coordination: Collaborate with cross-functional teams to track and drive key projects forward, ensuring timely completion of action items
  • Meeting Preparation: Prepare agendas, take detailed meeting notes, and follow up on action items to ensure seamless execution
  • Information Management: Organize and maintain confidential files, documents, and presentations; ensure executives have the right information at the right time
  • Event Planning: Assist in the planning and execution of internal and external events, including team off-sites, board meetings, and investor presentations
  • Liaison Role: Act as the point of contact between the executive team and internal/external stakeholders, maintaining effective communication
  • Problem-Solving: Tackle issues as they arise, ensuring the executives’ workflow is uninterrupted and business operations run smoothly

Who You Are (Skills and Attributes):

  • Experience: Proven track record as an Executive Assistant or similar role, ideally supporting C-suite executives in a fast-paced environment
  • Communication: Excellent written and verbal communication skills, with the ability to interact confidently with senior leadership and external stakeholders
  • Tech-Savvy: Proficient with G-Suite, Slack, Zoom, and other remote collaboration tools; experience with project management software is a plus
  • Problem-Solver: Resourceful, with an ability to anticipate needs and resolve issues before they escalate
  • Discretion and Confidentiality: Experience handling sensitive information with the highest level of discretion and professionalism
  • Adaptability: Thrives in a dynamic, fast-moving environment with shifting priorities and the capability to respond to changes and challenges quickly
  • Cultural Fit: You’re entrepreneurial, growth-oriented, and excited to be a key player in a rapidly scaling company
  • Attention to detail: Meticulous attention to detail, ensuring accuracy in all tasks, from scheduling to document preparation
