Responsibilities
The specific duties generally include but are not limited to the following:
Agenda and Meeting Management
-
Proactively maintain and manage the schedules of the VP/GM Biopharma Ops and VP INVIVA to optimize their time and efficiency.

Prepare meeting agendas, coordinate agendas, and dispatch meeting invitations. Book meeting rooms and arrange for resources and other technical or logistical requirements to ensure smooth and efficient meeting facilitation.

Organize Biopharma Ops team meetings for employees as required by the business.
-
Ensure all required meeting materials are ready prior to each occurrence and transcribe meeting minutes, including follow-ups on next steps when applicable.
Communication
-
Work closely with our internal communication team to prepare internal and external communications via the appropriate channel (media type).

Prepare confidential correspondence and documentation.
-
Manage phone calls, prioritize phone messages and mail, and handle all phone inquiries with professionalism.
General Administration of Communication Channels, Documents, and Reports

Respond to communication requests promptly and professionally.
-
Deliver general administrative documents and reports on time, ensuring accuracy and thorough investigation.

Filter incoming calls, mail, and emails for managers and prepare appropriate responses or drafts as required.

Maintain a vacation list of all direct reporting employees if/when applicable.

Manage the Overtime tool application environment.

Coordinate all travel arrangements in a timely and cost-effective manner following policy guidelines.

Prepare expense reports and monthly reports.
-
Validate and process invoices for timely approval and payment.
-
Consolidate, gather, and integrate presentation material as required.

Translate documentation between English and French when required.
-
Approve, as a delegate, workday entries, expense reports, and vacation requests as per guidelines and direction from managers.

Obtain signatures for letters within DocuSign and through other approved means.
Position Requirements & Skills
Experience

Minimum 10 years of experience in a similar position supporting an executive.
