About the Role
As the Executive Assistant / Office Administrator, you will provide comprehensive support to the CEO and help manage operational efficiency across the organization. You will handle executive communications, email, reimbursements, and day-to-day logistics, playing a key role in maintaining a productive and organized workplace.
What you'll do:
Executive Support
  • Manage the CEO’s calendar, schedule meetings, and coordinate appointments across time zones.
  • Organize logistics for in-person and virtual meetings, events, and conference calls.
  • Assist with CEO’s email communications, drafts, and follow-ups.
  • Handle CEO's expense reports and reimbursement processes accurately and promptly.
  • Manage complex travel arrangements, including booking flights, accommodations, and preparing itineraries.
  • Act as the CEO’s liaison with internal teams and external partners.
  • Draft, proofread, and prepare high-quality reports, presentations, and documents.
Administrative Support
  • Maintain and organize records, confidential files, and key company information.
  • Handle various administrative tasks such as document preparation, scanning, and basic data entry.
  • Provide ad-hoc support to leadership and the People Team.
  • Oversee day-to-day office operations including supplies, vendor coordination, and facility needs.
  • Plan and coordinate company events, offsites, and team-building activities.
  • Support onboarding logistics and office setup for new employees.
What we are looking for:
  • 3–5 years of Executive Assistant and Office Management experience; startup or tech sector preferred.
  • Previous experience supporting C-level executives in fast-paced environments.
  • Fluent in both Mandarin and English, with strong communication skills in both languages.
  • Proficiency in Keynote, Microsoft Office Suite, and Google Workspace.
  • Comfortable with Zoom, Microsoft Teams, and other collaboration tools.
  • Excellent organizational, written, and verbal communication skills.
  • Ability to handle sensitive information with discretion and professionalism.
  • Proactive, adaptable, and resourceful problem-solver.
  • Calm under pressure with strong multitasking and prioritization abilities.
  • Professional demeanor with a service-oriented mindset.
  • Self-starter who can work independently while supporting broader team objectives.
  • Bachelor’s degree preferred.
