Location: Hybrid (NorthYork)

Type: Full-time

This is a hybrid role based in the Greater Toronto Area, requiring regular in-office presence (3-4 days per week) to support leadership and office operations.

The Opportunity

The Executive Assistant & HR Associate supports Greenlight’s C-Suite while also helping coordinate key HR operations and office logistics across the organization. Combining executive support, HR administration, and office management, ensuring leadership operations run smoothly while HR processes and internal coordination remain organized and consistent.

You will work closely with the Managing Partners and cross-functional teams. This role requires strong organization, responsiveness, discretion, and the ability to manage shifting priorities in a fast-paced environment.


Executive Support
  • Effectively manage complex executive calendars and scheduling across competing priorities
  • Coordinate meetings, agendas, and preparation of materials
  • Arrange travel and logistics for the leadership team
  • Act as a liaison between executives, employees, and external stakeholders.
  • Coordinate incoming requests and communications to ensure timely responses
  • Assist with research, presentations, and special projects as required
  • Support internal communications and coordination of leadership initiatives
  • Assist with planning and logistics for company meetings, All Hands, and leadership sessions
  • Handle sensitive and confidential information with discretion

Office Management:
  • Coordinate office supplies, kitchen supplies, and general office needs
  • Arrange catering, group lunches, and meeting logistics when required
  • Ensure the office remains organized, stocked, and ready for team use.
  • Coordinate vendor relationships, office equipment, and maintenance needs
  • Support facilities coordination to maintain a safe and efficient workplace

Special Projects:

Support cross-functional initiatives and operational projects as the company continues to grow. Examples include:

  • Coordination of internal events and company gatherings such as All Hands and GLetogether
  • Supporting initiatives across departments, including Sales, Operations, HR, Marketing, and Finance
  • Assisting with logistics and coordination for internal programs and leadership initiatives
  • Liaise and collaborate on tasks as required across departments that fall under each executive, including but not limited to: IPA Ops, Costa Rica Ops, Sales, Marketing, HR, and Finance.

Required Skills:

  • Expert with the MS Office suite

  • Availability to work outside regular business hours and be present in the office as needed.
  • Ability to handle confidential information with discretion

Compensation at Greenlight is determined based on factors such as skills, experience, qualifications, market benchmarks, and internal equity. The expected salary range for this role is $55,000–$70,000 CAD and may include base and variable compensation depending on the position. We also offer a comprehensive benefits package, including health and dental coverage, retirement savings options, paid time off, and wellness programs.
