Serves as the CEO's closest operational partner - the person who ensures every hour, every meeting, and every commitment is working toward what matters most. In close partnership with leadership, you'll keep the organization running with precision and foresight: managing the flow of information, protecting focused time, and ensuring nothing falls through the cracks across key priorities and stakeholders.
You are the execution layer that makes it all possible - translating priorities into a seamlessly run day, week, and quarter. You bring calm to a fast-moving environment, anticipate needs before they're voiced, and operate with the discretion and judgment of a true trusted partner.

● Manage complex and dynamic calendars, ensuring the CEO’s time aligns with high-impact priorities.
● Prepare meeting agendas, materials, and briefing documents in advance to drive efficient decision-making.
● Anticipate and surface competing needs to maintain balance between short-term urgencies and strategic goals.
● Track, chase, and close the loop on follow-ups, deliverables, and commitments across internal and external stakeholders.
● Plan and coordinate seamless domestic and international travel.
● Partner cross-functionally with the Chief of Staff, Head of Workplace & Culture, and the Executive Assistant to the COO and to ensure operational alignment across the company.
● Communicate clearly and proactively between the CEO and key teams, ensuring timely and accurate information flow.
● Handle sensitive information with discretion and integrity while maintaining a high standard of professionalism.
● Executive time is protected and focused on the highest-impact work.
● Meetings are fully prepped with context and clear outcomes.
● Priorities are surfaced and balanced effectively; nothing slips through the cracks.
● Action items are tracked, chased, and closed.
● Travel and logistics run smoothly with no last-minute scrambles.
● Internal and external stakeholders experience seamless, timely communication.
● The CEO operates more strategically and less reactively, supported by a proactive, reliable partner.
● 8+ years of experience supporting senior executives in high-growth or fast-paced environments, ideally within technology, AI, or creative industries.
● Based in or near the South Bay; comfortable with a full-time, on-site schedule.
● Known for reliability, judgment, and ability to anticipate needs several steps ahead.
● Excellent written and verbal communication skills; equally comfortable communicating with a first-time founder and a Fortune 500 CEO — and knowing instinctively how to calibrate for each.
● Poised and unflappable in high-stakes moments; you've been in rooms where the stakes were real and know how to show up accordingly.
● Proactive problem-solver who takes initiative and drives clarity in ambiguity.
● Emotionally intelligent and collaborative, with strong relationship management skills across all levels — internal team members and external stakeholders alike.
● Proficient in Google Workspace, Slack, Notion, Concur/Expensify, and related tools
● Experience supporting a CEO or other C-level operator in a scaling startup.
● Strong operational mindset with the ability to design systems and processes for efficiency.
● Skilled at balancing urgency with long-term perspective.

CompensationThe base pay range for this role is $150,000 – $190,000 per year.
