We're seeking a proactive, highly organized Executive Assistant to partner with our VP of Product Development and VP of Product Design. This is a contract position with potential for renewal based on performance. As part of our toy company's fun and collaborative culture, you'll play a critical role in enabling our senior leaders to focus on strategic priorities while managing the complex operational details that keep our teams running smoothly.
The ideal candidate is a trusted partner who can exercise sound judgment, handle confidential matters with discretion, and thrive in a dynamic environment where priorities shift and no two days are the same.
Schedule: Hybrid: Monday–Thursday in-office, Friday remote
What You'll Do:
Calendar, Meeting & Event Management
- Proactively manage complex calendars for both executives, anticipating conflicts, coordinating across time zones, and blocking time strategically for focus work, personal commitments, and lunch
- Actively monitor calendars for changes, adjustments and advise execs in real time
- Coordinate internal and external meetings, including logistics, materials preparation, and catering arrangements
- Host visiting execs and their EAs from other offices; coordinate workspaces, meals, and general support
- Plan and execute team events, offsites, and company gatherings
- Take meeting notes and track action items to ensure follow-through
Communication & Coordination
- Serve as primary point of contact, screening and routing calls, emails, and visitors with professionalism
- Draft and consolidate information into org announcements and send on behalf of the executives
- Collaborate closely with EAs across multiple offices and time zones to ensure seamless coordination and information flow; occasionally provide coverage for other EAs when they are out of office
- Liaise with vendors, customers, partners, and internal stakeholders to facilitate efficient workflows
Travel & Logistics
- Arrange complex domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries; be on call in the event of travel disruption
- Compile all necessary documents and materials for travel-related meetings
- Complete expense reports for the executives that comply with Spin Master’s travel & expense policies
- Understand entry requirements of different countries, apply for visas and, if necessary, make appointments at consulates or embassies
Confidential & Administrative Support
- Handle sensitive and confidential information with the utmost discretion and integrity
- Review and approve team expense reports, vacation requests, and administrative needs
- Support occasional personal tasks such as lunch reservations and personal calendar management
- Apply professional judgment to triage incoming requests and help executives prioritize effectively
- Assist with special projects and ad-hoc initiatives as they arise
Required Experience & Skills
- 3–5+ years of experience as an Executive Assistant supporting senior leaders (VP-level or above preferred)
- Exceptional organizational skills with proven ability to manage multiple competing priorities simultaneously
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and trustworthiness when handling confidential information
- Strong judgment and problem-solving abilities—you can make sound decisions independently
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience coordinating events, managing catering, and handling meeting logistics

Position Type: One year contract with opportunity for renewal based on performance
The anticipated salary range for candidates who will work in Toronto is $70,000 to $85,000 per annum. The salary offered to a successful candidate will be dependent on several factors that may include but are not limited to years of experience within the job, years of experience within the required industry, education, etc. Spin Master Inc. is a multi-state employer, and this salary range may not reflect positions that work only in other states.
