Location: Remote/Hybrid at Client Headquarters in Waterloo, ON

The Embedded Program Manager acts as an on-site extension of the security integrator’s project team, working directly within the client’s environment to coordinate, track, and support delivery of security technology projects. This role is responsible for managing schedules, monitoring progress, orchestrating dependencies, facilitating signoffs, and ensuring that both the vendor team and the client meet agreed-upon milestones and deliverables.

This position does not make operational or strategic decisions on behalf of the client. Instead, it ensures the right information, documentation, and recommendations flow to the appropriate client stakeholders for review and sign-off.

This role will be involved in project delivery for the client on a global scale – both inside and out of Canada.

The selected candidate will have a very direct role and involvement with projects in Canada. For projects outside of Canada, the candidate will work closely with national JCI teams and resources to consolidate and communicate updates and reporting to the client.

Key Responsibilities

  • Project Coordination & Delivery Oversight

    • Maintain and manage project plans, workbooks, inventories and schedules for both the vendor and client workstreams.

    • Track milestones, dependencies, risks, and deliverables, ensuring timelines are adhered to and stakeholders stay aligned.

    • Monitor weekly progress across installation, configuration, testing, and commissioning activities.

    • Coordinate with cross-functional teams (e.g., security operations, IT, facilities, contractors) to ensure smooth execution.

  • Stakeholder Engagement

    • Act as the primary point of coordination between the security integrator and the client’s internal project stakeholders.

    • Ensure status updates, issues, risks, and project changes are communicated promptly and clearly.

    • Facilitate discussions, escalate issues to appropriate decision-makers, and ensure they have the information needed to take action.

  • Documentation & Governance

    • Maintain accurate and organized project documentation, including meeting notes, status reports, decision logs, and risk registers.

    • Prepare materials for client approvals, signoffs, and change requests.

    • Support adherence to security, compliance, and corporate governance requirements.

  • Quality & Risk Management

    • Verify that work completed by the vendor team meets the scope and quality expectations outlined in the contract.

    • Identify and escalate risks, delays, or scope concerns early.

    • Support corrective actions and ensure proper communication loops between vendor and client.

Qualifications

  • 3–7 years of experience in project management, preferably within security integration, construction, or technology deployment.

  • Strong understanding of physical security systems (e.g., access control, CCTV, intrusion detection) is an asset.

  • Experience working within or alongside large enterprise environments.

  • Excellent communication, coordination, and facilitation skills.

  • Proficient with project management tools (e.g., MS Project, Smartsheet, Excel workbooks,).

  • Ability to manage multiple parallel projects and workstreams.

  • Comfortable influencing without authority and guiding teams through complex dependencies.

Success Measures

  • Projects delivered on schedule and within defined scope.

  • Clear, consistent communication between vendor and client stakeholders.

  • Well-maintained project artifacts, tracking tools, and governance documentation.

  • Smooth facilitation of approvals and decision-making processes.

HIRING SALARY RANGE: $71,000 – 113,000 CAD Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data. This position includes a competitive benefits package.
