About the role:

We’re looking for a highly organized, detail-oriented Email Marketing Coordinator to support the creation, coordination, and deployment of customer “need-to-know” communications across email, in-app messaging, chat, and SMS. This role combines foundational email marketing skills with strong project management, helping ensure customers receive timely, accurate, and consistent information throughout their lifecycle.

This role plays a key part in solving a growing organizational need: today, customer communications are decentralized, inconsistently prioritized, and often handled in a “hot potato” fashion across teams. By bringing operational rigor and centralized coordination, this role will help reduce customer confusion, streamline internal workflows, and deliver a cohesive, customer-centric communication experience.

What you'll do:

Project & Workflow Management

  • Act as project manager for customer notifications, ensuring all communications move efficiently from intake → creation → approval → deployment.
  • Collect and manage all necessary inputs for each communication, including:
    • Audience lists or targeting criteria
    • Email copy or messaging requirements
    • Stakeholder approvals (Legal, Product, CS, etc.)
      Timing recommendations and dependencies
  • Create and manage Asana tasks for each communication, keeping all steps, owners, timelines, and deliverables organized and on track.
  • Coordinate cross-functional teams to align timelines, resolve conflicts, and ensure clarity on roles and expectations.

Execution & Deployment Support

  • Partner with Engagement Marketing to prepare communications for deployment (email, SMS, in-app, etc.).
  • Assist with building or QA’ing emails in our deployment platform (no advanced coding required, but familiarity with templates is helpful).
  • Ensure accurate audience uploads and segmentation in collaboration with the deployment specialist.
  • Support testing, proofing, and final review to ensure error-free execution.

Governance & Quality Assurance

  • Help establish consistency and quality across all customer communication touchpoints.
  • Maintain documentation for processes, templates, naming conventions, and best practices.
  • Track communication volume, timelines, and cross-team impacts to help inform prioritization.
  • Flag risks early (timeline conflicts, unclear requirements, missing approvals, etc.).
The Types of Communications You’ll Support

This role focuses on “need-to-know” customer communications that fall outside revenue-driving marketing, including:

  • Product migrations, sunsets, and deprecations
  • Onboarding sequences and education
  • Legal, regulatory, and compliance notifications
  • Customer surveys, NPS, and experience programs
  • Feature adoption communications
  • Customer support updates and alerts
  • Operational or transactional notifications

About you:

  • 2-3 years of experience in email marketing, project coordination, customer communications, or a related role
  • Basic understanding of email marketing platforms and common terminology (templates, segments, testing, proofs, etc.)
  • Strong project management skills and the ability to keep multiple workstreams organized
  • Excellent communication and collaboration skills
  • High attention to detail and commitment to accuracy
  • Comfort working cross-functionally and navigating shifting priorities
  • Demonstrated experience leveraging AI tools and technologies to improve workflows, enhance decision-making, or drive innovation.

Nice to have: 

  • Experience with Asana or similar project-management tools
  • Familiarity with basic email editing or QA
  • Experience partnering with Legal, Product, CS, or Support teams
  • Exposure to customer lifecycle communications


Additional Information

The annual salary range for this position is $70,000 to $80,000. The salary range for performing this role outside of the US / Austin / California may differ.  8am is committed to offering competitive, fair and commensurate compensation and has provided an estimated pay range for this role. Actual compensation may vary based on job-related knowledge, skills, experience and education.
