Why does this role exist?
The Founder/CEO needs a proactive right hand to relieve time constraints and address limited scalability by centralizing scheduling, inbox management, and daily priorities. This role ensures eCommerce accuracy and momentum (especially on Etsy) while bringing structure to operations, logistics, and meeting follow-through. The goal is to protect the executive’s time, keep the pipeline moving, and elevate customer experience without sacrificing craftsmanship standards.

The Impact you’ll make
Email and Calendar Management
  • Check daily inbox and manage emails.
  • Schedule and coordinate meetings, confirming logistics and preparing background information.
Product Management
  • Create Facebook Marketplace listings for computers and monitors.
  • Upload new product images to Etsy listings and ensure they are live.
  • Update shipping prices in HubSpot based on the latest supplier pricing sheet.
Inventory and Supplies Management
  • Reorder packing materials, checking current stock before ordering.
  • Source from existing suppliers or find alternatives if needed.
Documentation and Reporting
  • Maintain the operations manual in Notion, logging product changes and policy updates.
  • Attend meetings, take notes, and distribute next steps with task owners and deadlines.
Personal Assistance
  • Coordinate cleaning supply reorders for both apartment and office.
  • Handle personal scheduling and logistics, ensuring all appointments and follow-ups are managed.

Skills, Knowledge and Expertise
Required:
  • Hands-on Etsy experience managing product listings and images (no minimum years required).
  • Prior Executive Assistant experience supporting a founder/CEO with proven daily prioritization and verbal check-ins.
  • Excellent English communication skills (spoken and written); energetic, proactive, and personable on calls.

WFH Set-Up:
  • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
  • Internet speed of at least 40MBPS
  • Headset with an extended mic that has noise cancellation and a webcam
  • Back-up computer and internet connection
  • Quiet, dedicated workspace at home

What to expect...

Work Setup:
  • Remote position

  • Monday–Friday, 8:00 am–5:00 pm EST
Compensation:
  • $7 per hour
