Come join our Project Management team as we are in search of a Documentation & Administrative Assistant to work on complex projects in the Electrical Utilities sector, especially in Transmission & Distribution. In this role, you will collaborate with top-tier professionals and stakeholders. You’ll leverage your expertise to uphold excellence within our document management process.
We offer a flexible hybrid work model, enabling you to work from home AND our Vancouver office.
Primary Responsibilities
- Design and Optimize Processes: Plan and implement efficient document management procedures that support seamless project execution
- Provide Strategic Guidance: Recommend solutions aligned with client business needs and assist in selecting the best document management or project management platforms
- Enable Clear Communication: Ensure timely and accurate information flow across all project teams, fostering collaboration and alignment
- Protect Data Integrity: Oversee secure transfer and sharing of information in compliance with network security standards
- Maintain Accurate Records: Manage control logs and ensure proper documentation for all project activities
- Organize Documentation Lifecycle: Coordinate the reception, transmission, coding, classification, and archiving of all incoming and outgoing project documents
- Ensure Structured Organization: Plan document coding based on the Work Breakdown Structure (WBS) for clarity and consistency
- Deliver Insightful Reporting: Prepare and present project management reports that provide actionable insights for stakeholders
- Degree or technical training in administration, documentation, or a certificate in document and records management, or any other relevant education
- Minimum of three (3) years of experience in administration or information governance, ideally within engineering construction management environments
- Proficiency in Microsoft Office (Outlook, Word, Excel, Teams, etc.) and SharePoint
- Effective communication abilities in English, including analytical skills, interpersonal communication, and presentations
- Ability to adapt rapidly and work in a fast-paced environment
The expected salary for this position is from $50,000 to $70,000 based on the richness and diversity of the candidate’s experience, training, skills and internal equity. The position or associated salary could vary depending on the profile of the candidate.
