Role Overview & Key Responsibilities:

We’re seeking a technically skilled, client-focused professional to join our team as a Document Solutions Specialist. In this role, you'll digitize and automate loan documents using HTML and CSS, support clients with issue resolution, and ensure a smooth, efficient document experience. You'll serve as a trusted partner to clients, applying both technical acumen and clear communication to deliver high-quality solutions. Experience in mortgage lending or real estate law is highly valued, as it provides essential context for the documents and workflows you'll support.

  • Document Digitization & Automation
    • Use HTML and inline CSS to interpret, format, and digitize loan origination and servicing documents.
    • Build dynamic templates using coding logic such as variables, loops, and arrays.
    • Apply best practices to ensure document automation is scalable, accurate, and efficient.
  • Client Interaction & Support 
    • Communicate directly with clients to understand their document needs and provide tailored solutions.
    • Offer walkthroughs and guidance to help clients utilize document features effectively.
    • Deliver clear, responsive communication and build lasting client relationships through consistent follow-up.
    • Act as a key point of contact for client requests, providing thoughtful and timely guidance on document-related solutions.
    • Set clear expectations around timelines, deliverables, and processes to ensure a smooth experience.
    • Confidently host walkthroughs, product Q&A sessions, and support calls with clients of varying technical skill levels. 
    • Translate complex technical concepts into simple, actionable steps for clients.
    • Build long-term, trust-based relationships through proactive communication and consistent follow-up.
    • Maintain detailed records of client interactions, contributing to knowledge-sharing and team-wide learning.
    • Host one-on-one and small-group video calls to guide clients through document functionality, answer questions, and provide tailored support.
  • Issue Resolution & Internal Collaboration
    • Respond to client-reported issues, troubleshoot technical problems, and ensure timely resolutions.
    • Collaborate with internal teams including Product, QA, and Client Success to deliver seamless experiences.
    • Maintain accurate documentation of client interactions and contribute to improving internal processes.
    • Participate in ongoing team initiatives to enhance product performance and operational efficiency.

Qualifications:

  • Proficiency in HTML and CSS; understanding of variables, loops, and arrays.
  • Strong skills in Microsoft Excel.
  • Experience in a client-facing support, QA, or technical role within a software or SaaS environment.
  • Excellent communication skills—able to simplify technical concepts for diverse audiences.
  • Strong organizational skills with the ability to prioritize and multitask in a fast-paced setting.
  • Experience in mortgage lending or at a real estate law firm is a strong asset.
  • Familiarity with document workflows, legal language, or loan transaction processes is a strong asset.

Bonus Qualifications (not required):

  • Experience in private lending, LOS, or mortgage technology platforms
  • Mortgage/Real Estate business, including agent, broker licenses etc.
  • Familiarity with regulatory, compliance, and reporting in lending environments
