Job Summary:
The Corporate Communications Coordinator will provide essential operational and administrative support to the Corporate Communications team, specifically focusing on internal communications for our Toronto office, local event coordination, and executive communications logistics. This role is vital for streamlining daily operations, ensuring the smooth execution of communication initiatives, and directly freeing up senior resources for strategic priorities, all while ensuring consistency with Kobo's brand voice and values.
Key Responsibilities
Internal Communications Support:
Assist in the formatting, scheduling, and distribution of internal communications (e.g., monthly internal newsletter, team announcements, and employee celebrations for Kobo’s global team.
Support the coordination of logistics for Toronto-based internal events, including booking meeting rooms/venues (like our popular Kobo Kitchen), managing RSVPs, coordinating AV equipment setup, and preparing communications materials for Town Halls, milestone celebrations, and social events like the annual Toronto-based holiday party.
Help maintain and organize internal communications content on Kobo's intranet and other platforms, ensuring information is current, easily accessible for Toronto employees, and supports our flexible work environment.
Executive Communications Coordination:
Provide comprehensive logistical support for executive communications activities, including scheduling meetings and compiling presentation materials as needed.
Organize and maintain files for executive bios, headshots, and communications templates, ensuring all materials are up-to-date and adhere to Kobo's branding and corporate voice.
Corporate Communications Administrative Support:
Assist with flagging relevant trends for review. This supports our understanding of the "evolving ecosystem" of the industry.
Format, proofread, and prepare corporate communication materials (e.g., internal memos, press release drafts) under supervision, ensuring accuracy and alignment with Kobo's messaging.
Local Event Support:
Assist the Specialist and Head of Corporate Communications in the planning and execution of Kobo's participation in local Toronto events, including research into local tech/literary communities, vendor coordination (catering, venue setup), and on-site support. Your contributions will help showcase Kobo's proud Canadian heritage and commitment to community.
Manage inventory of promotional materials, Kobo devices, and giveaways for local events, ensuring Kobo's brand is well-represented.
Team Operations & Administration:
Provide general administrative support to the Corporate Communications team, such as scheduling meetings, processing invoices, managing team supplies, and organizing shared digital assets, contributing to efficient team operations within our dynamic environment.
Assist with budget tracking for internal events and local initiatives.
Research & Reporting:
Conduct basic research to support communication initiatives, such as identifying local event opportunities or gathering feedback on internal communications to inform future planning and continuous improvement in how we communicate the workplace experience.
Assist in compiling simple reports on communication effectiveness, such as internal email open rates or event attendance, to help measure impact and foster data-driven decisions.
Qualifications:
Bachelor's degree or college diploma in Communications, Public Relations, Marketing, or a related field.
1-2 years of experience in communications, public relations, event coordination, or an administrative support role. Internships within a corporate environment, especially in technology or publishing, are highly valued, particularly if they involved supporting flexible or hybrid work models.
Skills:
Exceptional organizational and time management skills, with a meticulous attention to detail and the ability to manage multiple tasks effectively in a fast-paced and flexible environment.
Strong written and verbal communication skills, with a professional and friendly demeanor, and an understanding of brand voice and the importance of clear, consistent messaging.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new communication platforms (e.g., Slack, intranet systems, media monitoring tools) and hybrid meeting technologies.
Ability to take initiative, prioritize tasks, and work effectively both independently and as part of a team, embracing Kobo's philosophy of balancing quiet focus and vibrant connection.
A proactive, adaptable, and positive attitude with a strong willingness to learn and contribute to Kobo's communication goals and its evolving workplace ecosystem.
Ability to handle sensitive information with discretion and maintain confidentiality.
