Location: Toronto, ON (On-Site)
Hours of Operation: 10:00am - 6:00pm EST
*Pay Range: $19.00 - $22.00 CAD hourly

POSITION SUMMARY:
Company 3 Toronto provides Post Production services to some of the world’s top content creators and is known for its creative artistry, pioneering technology and global reach. Reporting to the Head of Production, the Client Services Representative will be responsible for organizing, managing and coordinating all the daily functions with the role, including but not limited to reception duties, managing meeting room bookings, ensuring client needs are met, and other administrative duties as needed.
MAIN DUTIES:
The Client Services Representative will be responsible for greeting all visitors in a friendly and professional manner, handling all incoming calls, and notify staff of client/visitor arrival in a timely fashion. They will manage meeting room bookings, coordinate office supply and food and beverage orders, while ensuring security protocols are followed. They will be responsible for the following:
  • Order and provide lunches and food and beverage service for clients
  • Maintain relationships with Producers and staff to ensure all clients’ needs are met including preferences and dietary restrictions
  • Create and distribute security badges and reports as required. 
  • Communicate with vendors and maintain relationships (e.g. custodian services, parking provider). 
  • Help with ensuring the accuracy and coding of vendor invoices.
  • Complete accurate expense reports.
  • Provide administrative duties for various departments.
  • Maintain tidy reception, conference room and common areas.
  • Other duties as assigned.

WHAT YOU BRING:
The ideal candidate will have excellent customer service skills and strong written and verbal communication. They must have strong organizational skills and attention to detail, with the ability to learn and process information quickly. As well as being able to work in a fast-paced environment while effectively managing priorities. Additional desired skills include:
  • Possess solid keyboarding skills and a good working knowledge of MS Word, Excel and Outlook.
  • Prior experience in administrative role or hospitality role an asset.
  • Understanding of the Post Production business a plus.
  • Food Handler and Smart Serve certifications a plus.
  • Ability to interact with all levels of an organization up through the executive level, maintaining professionalism. 
  • Able to work overtime when required.

The benefits for eligible part-time employees working 25 or more hours per week and full-time employees in the US include a comprehensive package of health, retirement, and insurance benefits and paid time off. The benefits for eligible project hires and part-time employees working less than 25 hours per week in the US include retirement, select insurance benefits, and where required by law, health benefits. For roles filled in Canada and other territories, local benefits plan offerings as adopted and amended from time to time will apply.
