The Business Support Coordinator will be responsible for keeping our Toronto office operating efficiently and at scale while also being thoughtful and ensuring the best possible experience for our team and guests. In this role you will also support our Finance and Accounting department with day-to-day admin tasks and help with travel arrangements as needed.
This is a hybrid position based in Toronto, ON. The successful candidate lives in Toronto and will commute to our downtown Toronto office 3 days per week.
What You’ll Do:
Business Support
- Act as the main point of contact for the Toronto & Santa Clara office, managing the workplace experience.
- Manage relationships with building management, cleaning staff and other office / company vendors.
- Manage office inventory and expenditures, track office expenses, and reconcile credit cards.
- Coordinate employee travel; organising flights and accommodations while assisting with expense reports.
- Order, track inventory and stock office supplies, snacks, IT equipment and swag.
- Proactively seeks ways to streamline office processes and leverage best practices
- Plan and execute office events that build a sense of community and engagement
- Plan and execute onsite and offsite meetings including executive meetings
- Ensure that the kitchen is reset each day, including loading/unloading dishwasher, restocking supplies and ensuring that the cleaning team has completed their tasks
Compliance
- Uphold security protocols and manage office access for employees and visitors
- Send and track equipment agreement documents to ensure compliance.
- Maintain a safe and healthy work environment by staying current with local health and safety requirements, emergency preparedness plans, first aid kits and compliance signage
Employee Lifecycle
- Participate in the on-boarding process for North American new hires, ensuring they have what they need to be successful
- Maintain an up-to-date inventory of office equipment (computers, monitors, accessories, etc.).
- Coordinate ordering and distribution of equipment for new hires.
- Manage office inventory and expenditures, track office expenses, and reconcile credit card.
- Manage travel program and assist employees with travel related questions
Finance
- Support in accounting issues
- PO creation and vendors invoices booking
- Support for invoice
Requirements
- 3+ years of experience working in a fast-paced business environment
- Friendly and enthusiastic, can-do attitude
- Self-directed, highly efficient, detail-oriented problem solver
- Exceptional customer service skills and effective communication both written and verbal.
