Vistex Associate Human Resources Specialist will be responsible for the coordination of HR activities, supporting day-to-day human resources operations, onboarding, employee records, payroll coordination, and benefits administration. This role is critical in maintaining compliance with Canadian employment standards and enhancing the employee experience.

Responsibilities:

  • Coordination of onboarding processes, including orientation and documentation
  • Maintain accurate employee records in HRIS systems
  • Prepare HR documentation (letters, policy updates, employment verification)
  • Track employee lifecycle changes (promotions, transfers, terminations)
  • Support payroll processing in collaboration with Finance or external providers
  • Administer employee benefits programs
  • Respond to employee inquiries regarding pay, benefits, and policies
  • Ensure accuracy of time-off tracking and leave balances
  • Ensure compliance with applicable provincial legislation (e.g., Employment Standards Act or relevant provincial equivalent)
  • Maintain employee files in accordance with privacy regulations (e.g., PIPEDA)
  • Assist with audits, reporting, and documentation
  • Be a part of the Health and Safety committee and perform inspections, identifying hazards; promoting a safe environment.
  • Support employee engagement initiatives and internal communications
  • Assist in organizing company events, training sessions, and wellness programs
  • Generate HR reports and metrics (turnover, headcount, etc.)
  • Support HR projects such as policy updates, system implementations, or DEI initiatives
  • Identify opportunities to improve HR processes and efficiency
  • Help drive, facilitate and communicate the Endeavor programs
  • Emergency response team coordinator.

The compensation for this position is $55k to $62k CAD annually. Base pay will vary depending on factors including, but not limited to, a candidate’s location, job-related knowledge, skills, and work experience. The compensation package may also include incentive compensation opportunities in the form of discretionary annual bonus.  Vistex provides highly competitive benefits including comprehensive healthcare plan, 401(k) and paid time off, including paid volunteerism days!

    Qualifications Education Required Associates or better. Preferred Bachelors or better. Experience Required Experience or internship in an HR or administrative role Experience in payroll or benefits administration is an asset Strong organizational and time management skills Knowledge of Canadian employment laws and HR best practices Proficiency in Microsoft Office, strong excel experience Experience with HRIS systems Ability to manage priorities and workflow Ability to manage multiple projects concurrently Versatility, flexibility, and a willingness to work with constantly changing priorities with enthusiasm Acute attention to detail Ability to deal effectively with a diversity of individuals at all organizational levels. Must possess an assertive, outgoing personality and be extremely high energy. Ability to maintain confidentiality Preferred Strong communication skills, bilingual preferred Working toward or holding a designation such as CHRP, CHRL, or CPHR is an asset
