We’re looking for an AP & AR Coordinator who enjoys keeping things organized, accurate and moving forward. Someone who notices the small things, likes solving problems and knows there’s real satisfaction in getting the numbers right.

In this role, you’ll help keep our finances running smoothly by managing vendor payments, customer invoicing, reconciliations and day-to-day accounting operations across multiple companies within the Ecom group.

What You’ll Be Doing

1. Processing AP Related Transactions

  • Enter (and attach) all vendor invoices / credit memos into Quickbooks (QB) as well as saved on the shared drive in the appropriate folder/s in a timely manner (daily)
  • Monitor generic accounting email addresses for all legal entities to transactions are processed daily and to ensure all issues are addressed in a timely and appropriate manner – internally and externally.
  • Ensure all transactions are coded correctly (GL code and legal entity)
  • Prepare weekly / bi-weekly payment runs to ensure vendors are paid in a timely manner and within terms
  • Review all credit card transactions to ensure they are properly authorized, coded correctly and saved on the shared drive in the appropriate folder/s in a timely manner 
  • Match all payments to vendor invoices accurately and in a timely manner
  • Respond to all AP related inquiries, internally and externally, and develop / maintain good relationships
  • Ensure AP Aging is maintained – all entries are legitimate and have supporting documents
  • Any other tasks assigned or ad-hoc requests made by Accounting Supervisor

2.Processing AR Related Transactions

  • Daily / weekly invoicing to customers for all eCom Group of Companies
  • Ensure source documents for all transactions are saved in QB and on the shared drive in the appropriate folder and legal entity in a timely manner (daily)
  • Apply customer payments accurately and in a timely manner
  • Ensure AR Aging Report is maintained – all entries are legitimate and have supporting documents
  • Maintain existing Excel spreadsheets or any new that may be assigned from time to time
  • Other duties as assigned or ad-hoc requests made by Accounting Supervisor

3. General Duties & Responsibilities

  • Check and distribute mail in a timely manner
  • Assist Accounting Supervisor in achieving departmental and corporate deadlines (internal and Statutory)
  • Assist Accounting Supervisor or other Finance staff with AP & AR related matters during Month End / Year End as requested

 

What You Bring

  • 1 to 3 years of AP / AR experience (or a combination of relevant education and practical experience)
  • Experience with QuickBooks, Sage or similar systems
  • Strong Microsoft Excel skills
  • High attention to detail and accuracy
  • Excellent communication and organization skills
  • Knowledge of Canadian sales taxes is an asset
  • Professionalism, discretion and confidentiality
