Ferring+You 

You will act as a team member for the Administrative Excellence Hub, supporting the entire Canada organization and reporting to the Director Human Resources. You will team up with the admin group members (4 admin partners in total) to cover the day-to-day administrative activities and you will seek improvement whenever possible. You will be leading the relevant work processes and workflows as well as administrative projects and/or be part of sub-workstreams to improve and sustain activities within your own areas of responsibility. You will also be partnering with top management members and their function to define, design, improve and deliver administrative supports solutions. You will have the opportunity to grow and to be a part of company’s development. 

  

Your day at Ferring 

  • Act as an Administrative Partner with your dedicated function to define, design, improve and deliver administrative supports solutions 

  • Team up and act as back-up for other assistants within the organization and ensure collaborative teamwork (group of 3 admin) 

  • General administrative / secretarial duties such as Purchase Order creation, Master Service Agreement preparation, correspondence, calendar management, email and mail processing, slide deck preparation, minutes of meeting, filing/documentation, administrative training delivery, project coordination/lead, etc. with full discretion, dedication, and loyalty 

  • Manage and optimize relevant work processes and workflows within own areas of responsibility 

  • Act as a Subject Matter Expert (SME) for some administrative processes and activities 

  • Traveling arrangements and the necessary bookings 

  • Organize and coordinate events, meetings, conferences, visits from guests, business conferences 

  • Follow-up of budget, resources, coordination of costs and reports

  • Bachelor's degree in business or related field 

  • A minimum of 3 years of experience in a similar role, in a corporate environment.

  • Strong knowledge on Microsoft 365 (excel formulas, power point creation, etc), SharePoint platform (e.g web page creation), TEAMS 

  • Good understanding on how to use Artificial Intelligence as a supporting tool 

  • Process, solutions and results oriented 

  • Able to act as Project coordinator and a team player 

  • Excellent writing and communication skills 

  • Fluency in English is mandatory (fluency in French is a plus) 

  • Ability to work independently and manage multiple priorities in a fast-paced environment 

  • With a proactive, responsible and organized work methodology 

  • Positive and “can-do” attitude
