It’s an exciting time to join Calix as we’re working together to imagine and create the broadband experience that the world needs – and wants. Calix is looking for an Administrative Assistant to support a Vice President within the Success team, along with their direct reports. They partner with their executives to fully support their respective business units. In this role you will… 

 

Responsibilities and Duties:

  • Manage the daily calendars of multiple executives.
  • Make travel arrangements, create itineraries, and confirm logistics.
  • Submit and reconcile expense reports.
  • Source items or services, generate purchase requisitions and route invoices for payment.
  • Plan and organize Business Unit specific events and off-sites according to executive requirements, shifting demands, while remaining in line with budget.
  • Expand internal professional network to comfortably maneuver through organizational policies, processes, and people-related dynamics.
  • Manage conflicting priorities or crisis with ease and professionalism. 
  • Handling sensitive information in a confidential manner.
  • Create and maintain distribution lists, org charts and various other administrative systems.
  • Assist in the organization of company events, conferences and offsite meetings.
  • Liaise with executive assistants to handle requests and queries from executive team.
  • Execute on various projects, as requested.
  • Expected Travel estimated <5% 

 

Qualifications:

  • 3+ years’ experience as an Administrative Assistant.
  • High school diploma or general education degree (GED) required. Associate degree in Business Administration preferred.
  • Excellent time management and interpersonal skills.
  • Strong written and verbal communication skills.
  • Project management experience.
  • Solid organizational skills with the ability to multi-task.
  • Comfortable with routinely shifting demands.
  • High degree of attention to detail.
  • Proficient in Microsoft Office (Outlook, Word, Excel, SharePoint, and Power Point), Adobe Acrobat, Teams and social media web platforms.  

 

Location: 

  • Remote-based position located in Canada
