The Administrative Assistant will provide administrative and organizational assistance to the Finance Operations Leadership team. The position demands a high degree of good judgement and an ability to maintain confidentiality on highly sensitive matters. The incumbent must have a proven track record in an administrative capacity working both independently and in a team environment. The incumbent must be able to demonstrate a high degree of flexibility and thrive in a fast-paced environment while maintaining accuracy and reliability of work performed.
What you’ll do
Support VP and direct reports with all administrative aspects including dynamic calendar management for complex schedules.
Support VP and direct reports in evolving Canadian Tires Shared Services Strategy.
Coordinate all meeting setup (room booking, technology and catering, etc.), guest pickups, expense reports, travel arrangements, and ordering of supplies to ensure the team operates efficiently and effectively.
Schedule and organize all meetings including financial reviews, annual planning and ad-hoc meetings.
Work closely with the Finance Operations leadership team to document and track plans related to daily operations and the expansion of Shared Services.
Build strong relationships and work closely with Executive and Admin Assistant team to facilitate senior level meetings.
Take a lead role in facilitating the creation and maintenance of presentations, policies, operating procedures and other documents as required.
Coordinate and assist with onboarding of new employees.
Plan and co-ordinate team events and participate in Social and Health & Safety Committees.
Liaison with Facilities team to ensure building and workspaces are productive and efficient.
Maintain a team organization listing.
Ad-hoc projects as assigned.
What you bring
At least 3+ years of experience supporting senior roles within a fast paced and/or professional firm.
Working knowledge of Microsoft Office Suite, experience in Workday, Coupa and Concur is an asset.
Superior written and verbal communication skills.
High level of independence and can be relied upon to follow work through to completion.
Proven ability to manage multiple tasks simultaneously, take initiative, exercise sound judgement, and anticipate needs.
Proven ability to establish valuable relationships within an organization.
Demonstrate a positive and friendly attitude, with the ability to cope well under pressure with little or no supervision.
Able to maintain confidentiality on highly sensitive matters.
Flexibility and able to thrive in a fast-paced environment.
High degree of professionalism, business maturity, common sense and good judgement.
Strong organization skills and attention to detail and accuracy.

Our typical hiring range is between $44,000.00 and $73,000.00 per annum. Salary decisions are also dependent on other factors such as your experience, job-related knowledge, skills and competencies, market location, industry benchmarks, internal equity and other role-specific requirements.
