You provide administrative and secretarial support to a Managing Director, managers and other members of your unit as needed. You actively help coordinate, plan and prioritize your unit’s management activities. Your work involves complex relationships and business priorities. You interact with many different stakeholders, including IT. You proactively and independently make decisions and carry out tasks in accordance with business requirements. The ability to communicate effectively and tailor your approach as needed is therefore essential. More specifically, you will be required to:

Carry out administrative tasks (draft, revise, update and format documents for various departments, etc.) Manage schedules, coordinate meetings, prepare presentations, and provide general office support

Carry out internal administrative tasks (sales tracking, dashboards, expense reports, inventory management, performance reviews, etc.)

Help your superior manage their agenda, mail, emails and phone calls. Liaise with internal teams to ensure effective communication, schedule updates, and action items are tracked and followed through

Coordinate the preparation of deliverables for decision-making bodies

Plan and attend management committee and other meetings. Draft reports and minutes and follow up as needed

Create, format, and organize internal and external documents on SharePoint, ensuring that all files are current, easily accessible, and properly categorized

Handle the unit's budget process. Carry out budget preparation activities and identify and explain variances

Coordinate and troubleshoot IT requests from various users.

What you bring to the table

College diploma in Business Administration, Office Administration, Management or in a related field
-
A minimum of one year of administrative experience with a strong focus on data management, reporting, and office systems

Please note that other combinations of qualifications and relevant experience may be considered

Expertise in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), SharePoint

Proficiency with Power BI or other data visualization tools is considered an asset

Proficiency in creation, analysis and interpretation of reports and datasets
