Role Responsibilities 

The Administrative Assistant will be a self-starter with demonstrated administration and organizational skills, combined with strong software and business-tool capabilities. This position requires a strong attention to detail with a creative flare for problem solving and teamwork.

  • Coordinate meetings and gatherings, conference calls and travel arrangements for the business group members 
  • Distribution of fully executed documentation and posting documentation to internal systems. 
  • Tracking all documentation using prescribed tracking methods as well as maintaining filing systems.
  • Liaising with various teams and departments as required 
  • Prepare and coordinate the execution and distribution of contracts and agreements   
  • Minor drafting of miscellaneous documentation from verbal and written instructions. 
  • Assist with preparing creative presentations in PowerPoint and other software programs.
  • Attend, record minutes and distribute materials for management meetings as required
  • Other duties as required. 

  

Skills and Qualifications 

  • 5+ years of related administrative experience
  • High regard for quality and attention to detail 
  • Relationship Skills – Excellent oral and written communication skills; ability to develop and sustain strong co-operative working relationships internally and externally 
  • Organizational/Multi-Task Skills – Ability to allocate one’s time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands, competing priorities, and adapt to new ideas and constant changes; accurate and detail-oriented; willing to learn and be in a dynamic environment 
  • Computer Skills – Advanced skills in Word and Excel
