The Opportunity: We’re hiring an Administrative Assistant to support our 2 amazing leaders within Dulcedo’s Sports unit and become their trusted right-hand person. This is a high-trust, admin-heavy role focused on keeping operations organized, fast, and smooth - especially during busy seasons and high-volume moments (aka when things get exciting). Phoebe and Thomas are actively shaping the future of our Sports division, and they’re looking for someone reliable, sharp, and proactive to help keep everything running behind the scenes.
This role is perfect for someone who loves structure, thrives on being the person who “keeps it all together,” and wants to build a long-term career in an Admin path. While you’ll be supporting a fast-moving sports team, this is a true operations role with real impact - you’ll be the glue, the calm, and the efficiency behind the magic. Responsibilities
- Become an extension of our 2 Team Leads by supporting high-volume admin coordination in a range of activities
- Manage calendars, scheduling, invites, and internal follow-ups on their behalf
- Keep tracking tools clean and organized (folders, docs, lists, spreadsheets, etc.)
- Ensure key info is properly filed in Zoho and internal systems
- Support day-to-day organization of priorities, documents, and deadlines
- Create templates, trackers, recaps, and internal coordination notes
- Handle routine admin requests quickly, efficiently, and with attention to detail
- Communicate clearly with internal teams to keep workflows moving
- Maintain structured and easy-to-navigate files for the whole team
- Anticipate needs, stay one step ahead, and help reduce the “last-minute chaos” factor
Ideal Candidate
- Experience in an administrative, assistant, or coordination role from any industry!
- A clear desire to build a long-term career in Executive Assistant / Admin support
- Strong organizational skills, task management, and follow-through
- Confident handling multiple priorities in a fast-paced environment
- Professional communication skills (written + verbal)
- Comfortable with Google Workspace (Docs, Sheets, Calendar) and learning new tools
- Experience with a CRM or ATS is an asset (Zoho is a plus)
- Calm under pressure, reliable, and detail-oriented
- Based anywhere in Canada, but available to work Eastern Time hours
