Job Description

Job Summary

Under limited supervision, provides advanced support by handling a wide variety of administrative functions requiring expert knowledge and application of various established work methods. This is a hybrid role, with 1-2 days per week expected in-person at 200 Bay Street in Toronto.

Job Responsibilities

  • Providing day-to-day administrative support to various senior managers.
  • Coordinating and carrying out administrative functions in a professional and confidential manner.
  • Ensuring timely response to inquiries
  • Scheduling meetings and appointments
  • Preparing meeting agendas, minutes and maintaining confidentiality in all situations.
  • Organizing travel arrangements as required
  • Organizing and maintaining files.
  • Managing, creating and submitting reports as needed.
  • Assisting and managing projects.
  • Preparing expense reports and other routine correspondence
  • Ensuring reports are run on a regular basis and in a timely manner.
  • Dealing with day-to-day administrative correspondence.
  • Handling confidential information with significant discretion and judgment
  • Other general administrative duties as required

Qualifications:

  • A Graduate from a post-secondary institution in business administration or equivalent
  • Minimum 3-4 years’ experience providing administrative/ legal support.
  • A self-starter with the ability to work with minimal supervision and manage the workload efficiently with challenging demands for resources and time
  • Ability to work independently in accordance with established parameters.
  • Excellent organizational and prioritizing skills
  • Excellent verbal and written communication skills
  • Exceptional attention to detail and accuracy
  • High proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint and Excel).
  • Adapts readily to a fast pace and dynamic environment
  • Effectively interacts within a team setting
  • Highly resourceful in nature
  • Strong interpersonal skills, professional skills and the ability to exercise good judgment always

Salary Range - $55,000 to 60,000 annually
