The Opportunity
This position works out of our Austin, TX location in the Neuromodulation Division. Our Neuromodulation business includes implantable devices compatible with mobile technology to help people who suffer from chronic pain and movement disorders. These non-opioid therapies allow us to provide interventional pain therapy to patients throughout the pain continuum.
The Administrative Assistant III will provide general administrative support to one or more managers or directors as assigned. May provide back up support to higher-level management as needed.
What You’ll Work On
-
Responsibilities include all administrative functions of the department: Answering phones, calendar management, scheduling travel, managing correspondence and scheduling couriers, processing expense reports, meeting/event planning, creating or modifying business documents, preparing presentations from source materials, handling teleconference and acting as a liaison for remote access issues.

May include some support for tracking budget expenditures.

Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.

Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and Copy Center procedures (if applicable).

Orders business cards and stationery.
-
Uses basic to intermediate software skills to perform work assigned.
-
Uses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site, and employee performance management systems (as applicable). Coordinates new employee office set-ups and onboarding.

May train/coordinate work for new administrative assistants.
-
Frequently interacts with high-level executives.
-
Basic to intermediate knowledge and understanding of business processes and requirements.

Frequently handles confidential or business-sensitive information.
-
Data is typically employee-level or one-dimensional.

Maintains and may manage calendars, including meeting and travel scheduling and domestic and international travel arrangements.

Proactively identifies and resolves scheduling conflicts.

May be the primary point of contact for manager’s schedule.
Required Qualifications
-
High School Diploma / GED an equivalent combination of education and work experience. Some college preferred.

Minimum 1- year previous admin experience or equivalent.

Operates with general instruction and some supervision.
-
Basic to intermediate knowledge of Microsoft Office Suite, Adobe Acrobat, Visio or Org Plus, and Lotus Notes or Outlook.
Preferred Qualifications:

Minimum of three plus years of senior-level administrative experience.

Highly- skilled in providing administrative support to leaders at the top level of an organization.

Bachelor’s degree preferred.

Proficient in the use of the Microsoft Office Suite products i.e. Outlook, Word, Excel, Visio, Photshop, PowerPoint, Project SharePoint.

Proficient with managing and submitting Concur expense reports

Proficient with scheduling and reserving travel (US and OUS) for the executives’ travel needs via Concur.

Excellent interpersonal, written and verbal communication skills.

Demonstrated ability to handle difficult situations and/or communications tactfully and professionally.

Able to work with people at all levels of the organization.

Ability to handle multiple priorities and operate with a sense of urgency as required.
The base pay for this position is
$20.05 – $40.15/hour
In specific locations, the pay range may vary from the range posted.
