Job Summary

We are currently recruiting for a full-time Administrative Assistant to join the Credit Investments department in Toronto. The Administrative Assistant will report to a Principal in the Capital Solutions Group and will be responsible for providing day-to-day administrative support including managing travel, calendars, meetings, expenses, events, presentations, correspondence and departmental initiatives.

Team Description

Credit Investments (CI) is responsible for CPP Investments’ public and private credit investments globally. The Capital Solutions (CS) group provides flexible capital at scale for sub-investment grade corporate issuers (sponsored and non-sponsored) and asset-based opportunities in North America and Latin America.

Accountabilities

  • Managing calendars on behalf of executives, work with other departments’ EAs/AAs to coordinate meeting bookings as needed
  • Assist with meeting room bookings for internal and external meetings, including guest registration and catering orders as needed
  • Provide general administrative support to a high performing team of finance/investment professionals
  • Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization.
  • Assist with team planning including off-sites and social events: find venues, coordinate vendor contracts and payment, communicate with department, etc.
  • Book and manage complex global travel arrangements, itineraries or other duties related to support professionals who travel globally.
  • Reconcile credit card expenses and input into Expense Reporting System.
  • Work with HR and IT to ensure the smooth on-boarding process for new employees
  • Work closely with other executive assistants and teams to increase efficiencies and provide overall departmental support.
  • Be a CPP Investments’ ambassador by playing a key role in representing the investment business internally and externally. Conduct work in professional, friendly, easily accessible and approachable manner.
  • Work cross functionally as part of a team with other members and departments.
  • Accommodate and complete staff requests managing timelines and deliverables.

Qualifications

  • 2+ years of experience gained from fast-paced, professional environment
  • High school diploma required, college diploma or bachelor's degree preferred.
  • Experience providing support to multiple professionals and managing competing priorities.
  • Experience with complex calendar management, booking high profile meetings, events, scheduling travel and managing expense reimbursement process.
  • Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications.
  • Requires strong communication skills, both written and verbal in English
  • Team player, eager to learn, adaptable, calm under pressure, and professional.
  • Able and willing to work flexible hours, as required.
  • Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
  • Exceptional (written and verbal) communication skills and interpersonal skills.
  • Ability to work in a high performing culture, under pressure and with time-sensitive deadlines
  • Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism.
  • Proven ability to work independently as well as to perform effectively in a team-oriented and open-concept environment.
  • Interest in the investment industry is considered an asset.
