ERM is seeking a motivated, detail-oriented Administrative Specialist/Project Assistant to provide high-quality administrative, business development and project support in our Toronto, ON office. Working closely with the Regional Contracts team, this position will provide functional project accounting and administrative support to Project Managers and Partners across Canada. This is a full-time position and an excellent opportunity for a mid-career administrative professional looking to join a well-positioned global environmental and sustainability leader in an exciting and growing industry.

RESPONSIBILITIES:

The Administrative Specialist is an integral member of both the Administrative and Finance Teams, is responsible for contributing to the effective operation of the Toronto office and other Eastern Canadian offices, and supporting the business development needs of consulting staff.

Administration

  • Assist with organization of both internal and external events, workshops, meetings (logistics, catering, etc)
  • Assist with travel arrangements and/or re-direct travel arrangement requests to travel agent
  • Compile reports pertaining to expense reports, timesheets, training, and other reports as needed on a weekly basis
  • Assist with computer applications, troubleshoot minor IT issues, assist with setting up video conferences for office meetings
  • Schedule conference calls and/or web conference meetings
  • Coordinate maintenance requests with property manager
  • Distribute and maintain records of all building/office equipment (i.e. keys, security cards, etc.).
  • Print/scan documents, archive/file records, as requested
  • Learn about the consulting business and apply this knowledge in client/colleague interactions

Reception

  • Support front desk responsibilities by promoting a professional and organized presence
  • Answer and direct incoming general inquiry phone calls, take messages, use voice mail technology
  • Greet and direct all visitors, and provide office health and safety (including COVID-19) briefing
  • Maintain and set up desk spaces for employees and office visitors
  • Maintain orderly and clean appearance in the reception area, photocopy room, meeting room/lounge and kitchen, including ordering office supplies
  • Distribute incoming mail, handle outgoing mail, prepare for courier services
  • General administrative support to other offices in Eastern Canada

SKILLS AND ATTRIBUTES:

  • Degree in business administration, accounting or related field preferred
  • 2-4 years of project accounting experience and/or administrative experience in a fast-paced organization while adapting to challenging deadlines and priorities
  • Strong understanding of contracts
  • Strong computer skills including Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint), Sharepoint, Adobe, and experience using mid- to high-level accounting software packages (such as BST, Deltek, Oracle)
  • Ability to follow instructions, communicate effectively and proactively approach project managers or others with questions and/or to seek clarification
  • Detail oriented with a strong work ethic, maintaining a high level of professionalism
  • Excellent time management and organizational skills
  • Highly motivated and flexible individual who can work independently as well as in a team
  • Bilingualism in French/English is an asset
